10 Steps to Develop an AI Policy for Communication and Marketing  

Developing an AI policy for a team or a company/organization requires careful consideration of various ethical, legal, and practical aspects. Here is our proposal for ten steps that a working group can follow to draft an AI policy and effectively communicate it to employees: 

1. Form a Working Group 

Create a group consisting of selected leaders, IT experts, legal advisors, and internal subject matter experts. This group will lead the development of the AI policy, gather necessary expertise, and ensure representation from various departments and stakeholders. 

2. Educate the Working Group 

Ensure that everyone in the working group has a basic understanding of AI and the ethical issues it raises. Conduct training sessions or workshops where participants can learn about key AI concepts such as algorithmic bias, data privacy, and AI’s impact on jobs and functions. 

3. Establish the Purpose of the AI Policy (usually through an AI strategy) 

Identify the primary goals for the use of AI in your organization. These goals form the foundation of the policy and may include improved efficiency, a better customer experience, or promotion of innovation. Guidelines for what AI may and may not be used for in daily operations are also established here. 

4. Define Ethical Principles and Values 

Identify the ethical principles and values that will guide the development and implementation of AI in your organization. Consider concepts such as fairness, transparency, accountability, and well-being for individuals. These principles will form a solid ethical foundation for the AI policy. 

5. Evaluate Compliance with Laws and Regulations 

Understand the legal and regulatory landscape surrounding AI, including data protection laws, privacy regulations, and industry-specific guidelines. Ensure that the AI policy meets these requirements to avoid legal or reputational risks. 

6. Identify Potential AI Risks 

Analyze possible risks, including potential bias, security issues, and unintentional sharing of confidential information. Develop guidelines and best practices to minimize these risks. 

7. Establish Responsibility and Governance 

Determine who will be responsible for the AI policy. Define roles and responsibilities for implementation and monitoring. Create clear lines of responsibility and governance mechanisms to ensure ethical decision-making and risk management throughout the AI process. Specify when and how employees should intervene to edit or monitor content generated by AI, especially regarding sensitive or complex material. 

8. Focus on Transparency, Quality, and Accountability 

Emphasize the importance of transparency in the use of AI. Ensure that stakeholders are aware of how the technology affects decision-making processes. Employees should be accountable for the results generated by AI systems and able to explain and justify these outcomes. 

9. Implement Continuous Monitoring and Evaluation 

Introduce mechanisms to monitor the impact of AI systems and compliance with AI policy standards over time. Regularly evaluate the effectiveness of the policy and make necessary adjustments based on feedback and new best practices. 

10. Communicate the AI Policy 

Draft an AI policy that includes all the above elements. The policy should be written in clear and understandable language, providing practical guidelines. Ensure that all employees have the necessary training and understanding of how to use generative AI in accordance with the policy.
